RESET Health Group Terms and Conditions
Please read carefully and indicate your agreement. You must accept before you can begin the programme.

General

The RESET Program is an online 12-week program that includes weekly group sessions with a psychologist/psychotherapist and a personal trainer. The program starts after this contract has been agreed. You will be notified of your start date via email.

Access to the program is then available for 12 consecutive weeks after this point, subject to payment.

All videos, plans, and other resources will be sent to you via email. Therefore it is crucial that you provide us with the correct contact information.

Payment

As part of the sign-up process, we will arrange a meeting with you to discuss your requirements. During that meeting, a member of the RESET team will advise you on the best package according to your needs and circumstances, and we will also discuss your payment plan: Full payment (upfront) or instalment payment Plans.

Instalment Plan

We understand that despite our best efforts to make all our services affordable, the cost of the program can create additional stress and worry.

That is why we are offering an instalment payment plan to help support you in financing the cost of the program. We require the initial payment before you can join the program. You can either pay in full upfront or pay in 3 monthly instalments. The first payment should be made before your first session, the 2nd and 3rd payments are automatically collected subsequently every month.

We use the Stripe online payment system to collect these payments. Stripe is an online payment system. It provides a secure payment method, free to the payer, which allows us to track and identify payments. Please see the link below for details of how Stripe handles your data.

Cancellation

If you have not been able to attend one of your group sessions with us, The RESET Health Group does not provide refunds.

If you need to cancel or reschedule one of your individual sessions, you must give us as much notice as possible. Notice of the cancellation must be provided at least 24 hours before the scheduled session, otherwise, it is considered to be a late cancellation and your session will be forfeited.

If you have not been able to attend one of your individual sessions with us, and you have provided us with enough notice, your session can be completed at a later date. In the event of 3 consecutive cancelled sessions, your sessions will be lost.

Confidentiality

At the RESET Health Group, we take confidentiality and data protection extremely seriously. We will always keep your information secure and only use it to offer you the best service possible.

A multi-disciplinary team of health and fitness professionals from the RESET Health Group is involved in your support, and therefore they will share relevant information about your condition, your progress, your program, etc.

This means that under normal circumstances, nothing will be revealed to anyone, outside of the RESET Health Group without your written permission.

In very rare circumstances, the psychologist will reserve the right to break confidentiality. If he/she considers that you are at imminent risk of causing harm to yourself or others, they may seek additional assistance on your behalf, or the behalf of vulnerable others. They will endeavour to gain your consent before doing this. In the case of disclosure concerning acts of terrorism or drug trafficking, confidentiality will be broken and such disclosures will be passed on to the relevant authorities.

Psychologist/ Psychotherapist – Group or 1-2-1 Support

Committed to the ethical principles defined in the Ethical Framework for psychologists, your psychologist/psychotherapist will ensure that you are fully informed about our approach to information-sharing and confidentiality, and its limits.

Your psychologist/psychotherapist works as part of a multi-disciplinary team of health and fitness professionals in order to offer you the best support, and therefore share relevant information with RESET about your condition, your progress, your program, etc.

This means that under normal circumstances, the psychologist will not reveal any information to anyone outside of the RESET Health Group team, without your written permission.

In very rare circumstances, the psychologist will reserve the right to break confidentiality. They will endeavour to gain your consent before doing this. In the case of disclosure concerning acts of terrorism or drug trafficking, confidentiality will be broken and such disclosures will be passed on to relevant authorities.

To enhance the quality of support being offered to you, your psychologist/psychotherapist may keep notes and may discuss with a clinical supervisor on a confidential basis, but in doing this he/she will not identify you in any way. This is standard practice and is a professional and ethical requirement of all psychologists/psychotherapists.

Closed Group Sessions: Group Members

As part of the RESET program, you have access to weekly group sessions.

Every member of the group acknowledges the need to keep personal information shared in the group private. All group participants have the right to anonymity and confidentiality.

Any information shared by a group member with the group about him/herself should be considered personal and private information. In order to become a group member, each member must agree to protect this private information. Information gathered about other members of the group cannot be shared with anyone else, outside of the group or outside of the RESET Health Group team.

Online Sessions, Workshops and Webinars

As part of the RESET program, you have access to online individual or group sessions using FaceTime, Skype, Zoom, Whatsapp, and telephone. Although the RESET Health Group will ensure that any online platforms used are compliant with the EU-US Privacy Shield agreement, GDPR and ICO compliance, there can be no guarantee that any online platform remains fully secure over time in a fast-changing ‘digital world’, therapists are advised always to ensure that clients give their informed consent, having been made aware of the risks.

Physical Activity Disclaimer

The RESET Health Group strongly recommends that you consult with your doctor before beginning any exercise program.

You should be in good physical condition and be able to participate in physical activity. The RESET Health Group is not a licensed medical care provider and represents that it has no expertise in diagnosing, examining, or treating medical conditions of any kind, or in determining the effect of any specific exercise on a medical condition. You should understand that when participating in any physical activity, exercise or exercise program, there is the possibility of physical injury.
If you engage in this physical activity, exercise or exercise program, you agree that you do so at your own risk, are voluntarily participating in these activities, assume all risk of injury to yourself, and agree to release and discharge The RESET Health Group from any and all claims or causes of action, known or unknown, arising out of The RESET Health Group’s negligence.

Record Keeping

The RESET Health Group is committed to providing the best possible support to all its clients. This includes adhering to the legal requirements concerning confidentiality and data protection.

General Data Protection Regulation (GDPR)

In May 2018, The new General Data Protection Regulation (GDPR) came into effect. It replaces the Data Protection Act 1998. It is designed to better protect the personal information directly or indirectly given to companies and organisations.

In compliance with GDPR, we will collect, store, use and retain your personal data appropriately. This means we will:

– Only collect data that helps us to offer you the best service possible – we will therefore not collect or retain excessive amounts of data.
– Take appropriate steps to protect your personal data once collected. Therefore we will store your data securely, in locked cabinets/ rooms and secure cloud-based storage (GDPR compliant)
– Take all reasonable measures to protect your personal data from loss, misuse and unauthorised access.

We will use personal data for the following purposes:

  • To deliver the services which have been requested by you and agreed by us
  • To make contact with you as necessary
  • To maintain our own record

Your data will never be passed to a third party without your expressed consent (except for safeguarding concerns)

In accordance with the requirements of our governing bodies, your psychologist will retain your data for a minimum of 7 years – For clients under the age of 18, data will be retained until their 25th birthday.

NB: all psychologists are required to undertake regular supervision in order to ensure the highest standards of service are maintained and under these circumstances, all personal data is fully anonymised so that a client cannot be identified.

The lawful basis for processing your personal data

We are required to relate our data collection and processing activity to a lawful basis in order to comply with GDPR guidelines.

1. Contract

The lawful basis for collecting and processing your data is that we have a contract. From the outset, you have sought our services and we have agreed to provide them and this constitutes a verbal contract (it may also be a written contract). Therefore having agreed on what we will offer, when and how regularly we will meet and what the fee is for this service, this contract is the lawful basis on which I can store and process your personal data.

2. Legitimate Interest

The second legal basis for collecting and processing your personal data is that having this information is necessary to be able to deliver the support we’ve agreed to offer you, and you would be unable to receive our services without giving us this information – therefore it is both the client’s and The RESET Health Group’s legitimate interest.

Your rights

You have the right to request a copy of the personal data we have collected. If you would like a copy of this please send a request to hello@theresethealthgroup.com and we will respond within 1 month from receipt of your request.

You have the right to request that any incorrect or incomplete data be corrected or completed if it is found to be inaccurate.

You have the right to request that the data be erased where it is no longer necessary to be stored.

Please be rest assured that your data is in safe hands and will always be managed with the utmost sensitivity and care.

Social Media

The RESET Health Group, as well as some members of the team, is on Social Media. Although the RESET Health Group might accept friend or contact requests from current or former clients on social networking sites (Facebook, LinkedIn, etc), we would like to warn our clients that social networking sites are public spaces and therefore not confidential and secure spaces to talk or share information.

Therefore by friending us, we would like to highlight that you are making your connection with The RESET Health Group public and therefore this might compromise your confidentiality and your privacy.

If you have questions about this, please bring them up when we meet and we can talk more about it. The RESET Health Group keeps Facebook, Instagram, Twitter (X) and Linkedin Pages for professional purposes (i.e. share blog posts, discuss progress and difficulties with other Facebook users, webinars, etc.). All of the information shared on this page is available to other clients of The RESET Health Group.

You are welcome to join, like, view our Social Media Page, and to read, comment or share articles posted there.

By doing so, we would like to highlight that you are making your connection with The RESET Health Group public and therefore this might compromise your confidentiality and privacy.

Complaint Procedure

We provide a range of opportunities for clients to offer feedback on our processes, support and work (i.e surveys, emails, etc).

Should a client wish to make a complaint, they are invited to put their complaint in writing and this will be given to the relevant member of the team and responded to within 14 days. They can send any comments, suggestions or complaints to hello@theresethealthgroup.com.

Ending and termination of programme

We will not suddenly or without warning terminate your program or the therapeutic relationship, except in exceptional circumstances. For example, if you attend under the influence of alcohol or drugs we will terminate your session immediately. If we believe that you are being verbally or physically threatening we will also end your session immediately.

In such cases, another session might not be offered and your program might be terminated.
